If a warehouse skips those questions, the return may slip straight back into available stock. Wrong-item detection deserves real attention. Return fraud is not always dramatic. Sometimes a customer puts an older charger into the new charger box. Step 3: Document the Package Before Changing It
Photograph the return before opening, cleaning, repacking, charging, or moving accessories around.
This "before-change" rule is simple and important. Once an inspector peels off tape, wipes a surface, or rearranges the contents, the original state is gone. Evidence captured later may not explain a carrier claim, customer dispute, supplier defect, or missing-component case.
The minimum photo set normally includes:
- The full outer parcel with the shipping label visible.

Do not use one cosmetic tolerance across every selling channel. A tiny box crease may be acceptable for an outlet listing but not for a marketplace listing promised as new. The grade definition must match the channel promise.


Step 5: Run the Approved Functional Test
Appearance cannot prove function. A device can look untouched and still fail. Another unit may have a scratched box but work perfectly.
Create a short, approved test for each relevant SKU family. The test might include powering on, charging, pairing, reading an output, checking buttons, checking a display, running a leak test, confirming moving parts, or using a brand-approved diagnostic tool.

Keep not tested separate from failed. They are not the same. These grades are examples, not industry standards. Define them by product and channel. Grade A for a reusable metal bottle may not mean the same thing as Grade A for skincare, underwear, or a battery-powered device.
Also keep the grade separate from the return reason, damage cause, refund decision, and claim owner. A Grade E unit might still deserve a customer refund. A Grade A unit might still be part of a fraud investigation. One field should not quietly make four different decisions.
Make Grading Observable
Avoid words such as "good," "lightly used," or "acceptable" unless they are backed by observable criteria. Better rules sound like this:

Even a well-written SOP can drift. One inspector becomes strict. Another becomes generous. A third learns an informal shortcut from a colleague. After a few months, the same scratch can produce three different grades.
Calibration keeps the standard stable. Run a regular session in which inspectors grade the same sample units independently.
